Journal Entries – Create Automatic

 

Purpose:  To have the system calculate the journal entries for the oldest open period. Note:  If you have never run this routine please contact CDS first. The routine must be customized for each customer and for the specific outside accounting package being used.

 

Launch Point: This routine can be launched from the following location(s):

 

      Utilities → Routines → General Ledger Journal Entries →

 

Example:  When the routine is launched a confirmation message will appear

 

This window is a brief description of what the routine will do. Check that the period listed is correct and click OK to run.

 

If the journal entries period is set to a month that is more than one month ahead of the last period that has been closed, you will get this message. Go to the accounting calendar and correct the Journal Entries settings.

 

 

If the journal entries period is set to the same month as any of the other modules in the system, you will get a message similar to this. The Journal Entries accounting period must be set to a period prior to the Accounts Payable, Dues, Events, Products, and Review accounting periods. Go to the accounting calendar and correct the current period settings as needed.

 

This routine will extract all the journal entries for the month. The process can be run as many times as needed for a month, until the month is eventually flagged as posted. You can view the data that will be saved to the general ledger journal by expanding the detail rows for each area.

 

Note: once the journal transactions have been saved they can also be reviewed by running the General Ledger Activity report.
