Auto Renew Payment Plan

 

Purpose: To rollover payment plans for membership dues and/or contributions that are on auto renew. This routine is designed to be run immediately after posting annual dues for the new dues year. The routine will create auto renew payment plans for the new dues year for those with a current auto renew plan.

 

Warning! This routine has to be turned on in the system by CDS. If your association has plans on auto renew and this routine has never been used, please contact CDS support to have this functionality turned on.

 

This is because there may be additional items required to be setup by CDS prior to using the routine for the first time. Please inform CDS support if you want an email sent to the individuals, and provide a sample of the email body text, once the new payment plans have been setup by the routine. Also, what processing date to use for one-time payment plans (if applicable). Commonly this is the first day of the new dues year.

 

Note: Do not run this routine until Post Annual Dues has been run for the new dues year.

If there are no plans in the prior (dues year ending) that are on auto renew this message is shown and the routine will not launch.

 

Since this routine should ONLY be run AFTER annual dues has been posted for the new dues year, the message above is shown when the routine is launched and the above text is shown on the routine screen. ONLY continue with the routine if dues have already been posted for the new dues year.

 

Warning! If this routine is run before the new year’s dues have been posted the amounts used in the new payment plans may be incorrect.

 

The routine is made up of two tabs, Plans To Renew and Ineligible Plans.

 

The Plans To Renew tab displays information for the new plans to be created in the new dues year.

It shows plans from the prior year (dues year ending) that have a status of Auto Renew, are for current members, have a dues billing for the new dues year and do not already have a plan in the new year for the same items.

 

The parent row shows the dues year, plan type, billing class, and amounts for the new plan.

 

Note: A Plan Type of Monthly means it is a multi-payment plan, not that there are payments scheduled every month.

 

Click on the plus sign to the left of the row to see the child rows detailing the plan transactions that will be created in the new payment plan.

 

In the plans, the dues amount may be different because of a rate change or billing class change, but the items included (dues and/or contributions), amount for contribution(s) (if applicable), day of month for processing, and status of auto renew will be the same as the plan being rolled over from the prior year (dues year ending).

 

Warning! If someone wants changes to what items are in a plan, or the amount for a contribution in the new dues year, exit the routine and change the Status on the current plan from Auto Renew to Active.     

This is so a plan will not be setup in the new dues year by the routine. The member can then setup a new plan, with different items and/or contribution amounts when they make their initial payment in the new dues year.

 

The number of payments for those with a Plan Type of Monthly may be different depending on when the initial payment was made in the old plan and the custom payment plan programming for your association.

 

Plans with a Plan Type of One will have the payment in the new plan scheduled for the date specified in your association’s custom payment plan programming (commonly the first day of the new dues year).

 

The Ineligible Plans tab displays payment plans from the prior year (dues year ending) that will not be rolled over. Reason shows why a new plan will not be created.

 

Note:  If you feel a payment plan is shown on this tab in error, exit the routine and update the prior year plan or name record as needed.

 

When you are ready to have the new payment plans created, click OK.

 

This message is shown displaying the number of payment plans to be created and for which dues year (this should be the new dues year) they will be for.

 

Click Yes to have the routine create the new payment plans in the new (upcoming) dues year for all records listed on the Plans To Renew tab.

 

The message above will be shown when the new payment plans have been created.

 

If your association is setup to have emails sent automatically, to those who had a new payment plan created through this routine, those will go out after the plans have been created.
